Exhibitor Information
Show Dates and Times
10 a.m. – 5 p.m., Saturday and Sunday, April 12th and 13th, 2008 in Cedar Key on Historic 2nd Street

Please use the green number and lines. The number is in the approximate center and the lines
indicate your edges.
Registration
The artist must check themselves in and an ID will be required. Your partner cannot check in for you!! Check in will be at Napa Auto. (This is across the street from the United Methodist Church, where check in was last year.) Napa is on the left side of the road and is located right past 4th Street and right before the Cedar Key Market at 3rd Street. All artists must check-in and register prior to setting up. Artists may pick up their registration packets on Friday or Saturday. Artists may not set up until their designated times. Registration will begin at 6:30 p.m. Friday night and close at 11 p.m. Saturday registration at Napa will begin at 6:30 a.m. and close at 9 a.m.
*******Under no circumstances will stand in proxy exhibitors be permitted. This is not fair to other artists. The artist must be present the entire time. Also, in your application it was stated that all work must be originals of the accepted artist and that reproductions are acceptable only if they are signed and noted and if the original is on display and available for sale.
Check-In Packets
Packets will include 1) artist identification car passes (please put these on your vehicle), 2) artist badge (please wear during the show to avail yourself of artist perks), 3) artist booth cards (standing inside your booth and facing the street, please put these on the outside right corner of your booth to identify yourself to the judges and the public), 4) FL tax forms, 5) an invitation for 2 to the Saturday night artist reception sponsored by the Cedar Key Art Center and the Cedar Key News, and 6) information about local businesses that may be of service to you.
Set Up & Take Down
Please check the top of this letter to see when your designated set up time is. Times of set up are based upon businesses nearby. Please do not set up early since we are given permission for times in cooperation with businesses. If you have permission to set up on Friday, then you have a choice of setting-up Friday night or Saturday morning. We will not tolerate anyone setting up earlier than the designated time. Please complete your set up by 12:30 a.m. A flashlight is suggested. Saturday morning set up can begin at first daylight, approximately 5:45 a.m. (note, registration open @ 6:30). Please complete set-up by 9:30 a.m. No vehicles will be allowed on 2nd Street after 9:15 a.m.
Directions to your booth space will be given at check-in. It will be necessary to unload and move vehicles as quickly as possible prior to setting up booths so that others may gain access to their location. Please ask at check-in if you need special assistance- we can help you!!
Booths should remain open until 5 p.m. Booths should be dismantled on Sunday by 8 p.m.
Booth Space
Each exhibitor has a 10 feet x 10 feet space. Two green lines mark the edges of the booth. Booth numbers will be found in the middle of these 2 marks. The number will be either on the street pavement or on the curb. Please do not use more than the allotted space. Please keep products, tools and stored items within the boundaries of the 10x10 booth space. As a courtesy to the guests and to the businesses we especially do not want to block walkways.
Motor Homes & RVs
Our streets are not wide enough accommodate RVs along 2nd St. Please unload along side streets.
There are several RV parks/campgrounds around Cedar Key- Shell Mound RV, Sunset RV, and Rainbow RV.
Tents and Booths
We are not responsible for damage to belongings. Please be aware that springtime storms and high winds do occur. We recommend tents be weighted. Modifications of the asphalt to secure tents or otherwise are not permitted. We recommend white 10x10 tents.
Artists are allowed to share tents; however, this hinders judging and shared booths will not be judged.
Parking
We suggest checking near the marina for parking of large vehicles. Do not park vehicles on C Street between 1st and 3rd Streets.
Sales Tax
A Florida Tax Statement will be included in check in packets. It is the artist’s responsibility to return the form to the Florida Department of Revenue.
Post Cards
Our gift to you, these post cards require a 24 cent stamp. We urge you to send these cards to your special collectors. No one appreciates your art more than people who have purchased your work in the past. Please let them know that you will be here! We will also be emailing announcements for you to forward on.
Publicity
In addition to our publicity, please inform your local news media that you have been chosen to exhibit at our fine arts show and are available for an interview. Great publicity equals great sales!
Information & Hospitality Tent
Please come to the red tent near City Hall on 2nd Street for assistance. The tent will be set up by 9:15 Saturday morning. Coffee, water, and breakfast will be located on the porch of City Hall Saturday and Sunday mornings around 7:30 a.m.
First Aid and Emergencies
Medical emergency and first-aid services during the Celebration will be located behind City Hall at the Fire Station on 1st Street. For critical medical emergencies, please dial 911. If 911 is needed, please contact Missy after contacting EMS.
For non-medical emergencies, you may contact Missy Friday evening or early Saturday morning.
Judge
Booths will be judged on Saturday morning. Our judge this year is George R. Ellis. He is the former Director of the Honolulu Academy of Arts, and since 1982 he has been active with Artists of Hawaii, the largest and longest running all-media juried exhibition of the state.
