Exhibitor Information

OLD FLORIDA CELEBRATION OF THE ARTS

Saturday & Sunday, April 2 & 3, 2011 – 10 am to 5 pm

Registration:

  • Check in Friday from 6 -10 pm or Saturday 6:30-9:00 am at the NAPA Auto Store across from the Cedar Key Market at the corner of Hwy 24 and 3rd Street.  Directions will be given to your booth.
  • All artists much check-in and register prior to setting up.
  • Artist must check themselves in. An ID will be required.  No partners or proxy exhibitors will be allowed at check in or any at the both during the festival.
  • Check in packets will include
  • artist car pass (to allow you to drive on 2nd Street during set-up & take-down and park in designated artist parking lot at the NE corner of 3rd & A St (limited parking available here)
  • artist badge to be worn during the show
  • artist booth signs (standing inside your booth and facing the street, put the sign on the outside right corner of your booth to identify yourself to the judges and public)
  • Florida Tax Forms.  It is the artist’s responsibility to return the form to the Florida Department of Revenue.
  • Information Sheet about Festival, Artist Reception Saturday evening, and local businesses.

Set-up & Take-down

  • Times to set up are based upon businesses nearby. Please do not set up early, since we are given permission for times in cooperation with the businesses.
  • If you are assigned to set up on Friday, you can set up on either Friday night or Saturday am (5:45 am-9:30 am).  Remember registration opens at 6:30 am on Saturday.
  • Unload and move vehicles as quickly as possible, before setting up your booth, so others may gain access to their location.
  • Complete you Friday night set-up by midnight; Saturday morning set-up by 9:30 am.
  • No vehicles will be allowed on 2nd street after 9:15 am Saturday.
  • If you need assistance to set up your booth, please ask at registration, we have volunteers to help.
  • Booths should remain open to 5 pm on Saturday and Sunday.
  • Booth should be dismantled no later than 8 pm on Sunday.

Booth Details

  • 10’ x 10’ tents are recommended.
  • Be aware that springtime storms and high winds do occur.  We recommend tents be weighted.  Modifications of asphalt to secure tents are not permitted.
  • Each exhibitor has a 10’ x 10’ space marked on the curb by blue numbers
  • Do not use more than the allotted space.
  • Keep products, tools and stored items within the boundaries of the 10’ x 10’ booth space.
  • Originals must make up the majority of your exhibit. Smaller prints should be sold in bins.
  • As a courtesy to guests and businesses, please do not block sidewalks or walkways.
  • We are not responsible for damage to belongings.
  • You can share tents, however, shared booths will not be judged.

Parking and RV information

  • A small “Artist ONLY” lot is available at the NE corner of 3rd and A streets
  • Larger vehicles should try to find a spot near the marina.
  • Do not park vehicles on C street between 1st and 3rd St.
  • 2nd Street is not wide enough for RV’s, so please unload along side streets.
  • There is no room for parking Motor Homes or RVS on the Island.  Several RV parks/campgrounds are available around Cedar Key (Shell Mount RV, Sunset RV, Rainbow RV, Low Key Hideway, and Cedar Key RV Resort.

Event Promotion

  • Post cards to send to your clients are enclosed.  They require a 28 cent stamp. No one appreciates your art more than people who have purchased it before.  Please let them know you are here.
  • An “E-nvitation” will be emailed to you soon, to forward on to your clients
  • TV advertising of our event will begin shortly. There will be 115 commercials aired on two different stations.  We anticipated that these ads will significantly increase the number of festival visitors.

Artist Hospitality Information

  • Saturday Morning Breakfast at Tony’s Seafood, 7:30 am at the corner of 2nd Street and Hwy 24
  • Saturday Evening Artists Reception and Awards Ceremony, 5:00-6:30 pm in the Cedar Key Arts Center Sculpture Garden, on 2nd St. between B & C.
  • Sunday Morning Breakfast at City Hall, 7:30 am at the corner of 2nd Street and C
  • Ice Water throughout the festival at the Cedar Key Arts Center & City Hall
  • Information, T-shirst, posters, postcards, etc can be found at the Information Booth, located in the middle of the intersection of 2nd and C St
  • Food Booths will be open in City Park from 10am-4pm

Miscellaneous

  • Judging will occur on Saturday morning. 
  • First-aid during the Celebration will be located behind City Hall at the Fire Station at the corner of 1st and B.  For critical emergencies call 911.  For non-medical emergencies, call Event Coordinator (352-543-5400) or the Cedar Key Police Department (352-543-5180).
